To Make Your Booking:

  1. Booking and Payment:

1.1. To secure your booking, a non-refundable deposit of 10% of the total booking price per person is required at the time of booking.

1.2. The remaining balance is due 6 weeks prior to the tour departure date.

1.3. Payments can be made via [accepted payment methods, e.g., bank transfer, credit card, etc.].

From the time we receive your signed booking form and initial deposit payment, a contract exists between you and ICONIC ARTISTS – Discovery Tours

  1. Cancellations and Refunds:

If for any reason you have to withdraw from a tour on which you had already booked, there will be a charge which varies according to the period of notice given. Thereafter a percentage of the total cost of the tour will be due. 

Cancellations made by clients must be notified by email in writing to ICONIC ARTISTS – Discovery Tours: info@iconic-artists.com The day of cancellation will be the day on which we receive your written confirmation of cancellation.

2.1. Cancellations made between 50 days and 30 days before the tour departure date are subject to a cancellation fee equal to 45% of the total tour booking price. Cancellations made between 29 days and 14 days before the tour departure date are subject to a cancellation fee equal to 65% of the total tour booking price. Cancellations made between 13 days and 5 days before the tour departure date are subject to a cancellation fee equal to 85% of the total tour booking price. Cancellations made between 4 days and your departure date are subject to a cancellation fee equal to 100% of the total tour booking price.

2.2. No refunds will be provided for cancellations made after the tour has commenced or for any unused portions of the tour.

Additional costs for individual arrangements (including but not limited to extra nights at the hotel(s), room upgrades and airport transfers) are subject to the same cancellation charges, unless we have previously notified you that an additional cost is non-refundable. 

If you cancel your booking in a double or twin room but are travelling with a companion who chooses to continue to participate in the tour, the companion will be required to pay the single-occupancy price.

If for any reason we have to cancel your tour, we would refund you everything you had paid us up to the date of the cancellation.

Changes to Itinerary by Client:

Notice Period:

More than 30 days before tour commencement: Clients can request changes to the itinerary (subject to availability) with no penalty.

Less than 30 days before tour commencement: Changes to the itinerary may incur additional fees depending on the nature of the request and expenses incurred by the DMC, if one has been used or the tour guide.

  1. Tour Alterations:

3.1. ICONIC ARTISTS – Discovery Tours reserves the right to alter or cancel any tour itinerary due to unforeseen circumstances or events beyond our control, such as natural disasters, political unrest, itinerary venues suddenly closing or insufficient bookings.

3.2. In the event of a tour cancellation by ICONIC ARTISTS – Discovery Tours, clients will be offered the option to reschedule their tour or receive a full refund of all payments made.

3.3 In the event of a venue on your itinerary becoming unavailable after booking your tour, and this has occurred due to something beyond our control we will offer something similar to replace it. We will of course make you aware of any changes in advance of your tour.

  1. Travel Insurance:

4.1. Clients are required to obtain comprehensive travel insurance that covers trip cancellation, medical expenses, emergency evacuation, and loss or damage of personal belongings. The insurance must cover, at minimum, medical treatment, repatriation, loss of property and loss of payments to us in the event that you cancel the tour. If you are making your own arrangements for international travel, please ensure you have insurance that protects you should Iconic Artists – Discovery Tours, for whatever reason, need to cancel the tour. It is strongly advised that free travel insurance offered by some credit card companies should not be relied upon.

4.2. It is the responsibility of the client to ensure that their travel insurance policy is adequate and appropriate for the duration and activities of the tour.

  1. Health and Fitness:

5.1. Clients must notify ICONIC ARTISTS – Discovery Tours of any pre-existing medical conditions, disabilities, or dietary requirements at the time of booking.

5.2. Participation in the tour activities requires a reasonable level of fitness and mobility. Clients with mobility issues or medical conditions must assess their suitability for the tour before booking.

5.3 If you have a medical condition or a disability which may affect your holiday or necessitate special arrangements being made for you, please discuss this with us before booking – or, if the condition develops or changes subsequently, as soon as possible before departure.

5.4 We reserve the right to refuse to accept a booking without necessarily giving a reason.

  1. Liability:

6.1. ICONIC ARTISTS – Discovery Tours acts as an agent for third-party service providers, including  transportation companies, and tour guides. We are not liable for any loss, injury, damage, or delay caused by these third-party providers.

6.2. Clients participate in the tour activities at their own risk. ICONIC ARTISTS – Discovery Tours is not liable for any accidents, injuries, or illnesses that occur during the tour.

  1. Client Conduct:

7.1. Clients are expected to conduct themselves in a respectful and courteous manner towards fellow tour participants, tour guides, and local residents.

7.2. ICONIC ARTISTS – Discovery Tours reserves the right to remove any client from the tour if their behaviour is deemed disruptive, offensive, or dangerous, with no refund provided.

  1. Privacy Policy:

8.1. ICONIC ARTISTS – Discovery Tours collects personal information from clients for the purpose of facilitating tour bookings and providing tour services. Client information will not be shared with third parties except as required for tour operations or as legally required.

  1. Foreign, Commonwealth & Development Office advice

Before booking, please refer to the FCDO website to ensure you understand the travel advice for the places to which the tour goes. Non-UK citizens should look at the advice issued by their governments, which may differ significantly.

  1. Passports and Visa

British citizens must have valid passports for all tours outside the United Kingdom. The passport needs to be valid for six months beyond the date of the tour. For Schengen country clients, your passport needs to have been issued less than 10 years before the date that you enter the country and valid for at least 3 months after the day you leave. 

It is the responsibility of the client to check whether any visas will be required on the dates that your tour we will be taking place for the regions and countries in which it will be delivered.

  1. Governing Law:

10.1. These Terms and Conditions are governed by the laws of England and any disputes arising from them shall be subject to the exclusive jurisdiction of the courts of England and Wales.

By booking a tour with ICONIC ARTISTS – Discovery Tours, clients agree to be bound by these Terms and Conditions.
